What counts as a document?

Anything you send for approval or signature. That is the only thing counted, because it is the only thing that costs us anything: an email goes out, a PDF is rendered, and a copy is archived.

Most deals cost one. When you send a quote you choose, at that moment, whether you are asking the client to sign it or simply to approve it. If you ask for a signature, the quote is the agreement they sign — there is no separate contract to send afterwards.

  • Building, editing and previewing a quote is free. Drafts never count.
  • Sending it for signature is one, and that is the whole deal.
  • Uploading your own PDF and sending it is one.
  • Re-sending the same document does not count again — a lost email or an expired link costs you nothing.

Two things add one each, and only these two:

  • Asking for approval first. Send the quote to be approved, then issue a contract for signature afterwards: that is two.
  • Revising after sending. Change a price or a date and send again and it is a new document with different wording on it, so it counts as one. Fixing a typo before you send is free.

We would rather say all of that here than have you find it on an invoice.

What happens when I run out?

Sending pauses until the 1st, and nothing else changes. Everything you have already sent stays exactly where it is — readable, downloadable and exportable. A billing state never stands between you and a contract you have already signed.

You can upgrade at any point and carry on immediately. The quota resets on the first of each month, not on your billing date, so the answer to “when does it come back” is the same for everybody.

Do you charge per user?

No, and we do not intend to. Add your whole team on any plan, including the free one. Seats cost us nothing to provide — documents cost us rendering, mail and storage — so documents are what we charge for.

Most tools in this category charge $8 to $49 per person per month. A two-person shop should not have to decide whether the second person is worth a subscription.

What is actually different between the plans?

How much you can send, and one cosmetic thing: documents sent on the free plan carry a small “Made with HootQuill” line in the footer.

That is the whole list. Templates, the client catalog, the client portal, approvals, reports, renewals, your own branding, your own sending domain — all of it is in every paid plan, and nearly all of it is in the free one. We would rather you outgrew a number than hit a wall in the middle of a job.

Is an electronic signature legally binding?

In the United States, electronic signatures are generally enforceable under the ESIGN Act and UETA. HootQuill is built for that: consent to sign electronically is captured before signing, intent is recorded, and every step is written to an append-only, hash-chained audit trail with a certificate of completion.

It is not suitable for documents requiring notarization or witnessing, and some documents are excluded from electronic execution by law. See our terms for the detail.

Can I use my own e-signature account?

Yes. If you already sign somewhere else, connect that account under Settings → Integrations and uploaded documents will be sent through it. HootQuill still writes the contract, files the signed copy back and keeps its own record. Signing through HootQuill is the default and needs no setup.

What happens to my agreements if I cancel?

Your plan runs to the end of the period you paid for, then drops to Free. Nothing you have signed is deleted, locked or held hostage. You can read, download and export every executed agreement and its audit trail.

Can I bring a document you did not create?

Yes. Upload any PDF — an NDA, a W-9, somebody else’s master agreement — click where the fields go, and send it for signature. You get the same audit trail and the same sealed copy as a document built here.
