Renewals and ending an agreement

Seeing what is coming before it renews itself, and making sure billing stops when an agreement does.

The Renewals screen

Renewals lists every agreement that has an end date, in three groups:

  • Needs a decision — inside its notice window, or already past a deadline.
  • Coming up — within the next 90 days.
  • Later — further out, for planning.

The Renewals screen, grouping agreements by how soon they need a decision

Every row names the client, the end date, and where there is one, the date notice is due.

Agreements built from a quote pick up their term automatically. For a document you uploaded, open it and fill in the Term — a start, an end, and how many days of notice ending it takes. Until you do, it does not appear here.

Renewing one

A renewal is a new agreement, not an edit to the old one. Build a fresh quote for the next term, send it, and have them sign — which leaves you with two signed agreements, each saying what was true for its own period, rather than one document quietly rewritten.

Duplicating the previous quote is usually the fastest start.

Ending one early

On the contract itself, End this agreement early. It asks for two things:

  • The last day it covers. Not today — cancellations are given notice, so “it ends on the 30th” is the ordinary case. Record it when you are told, with the date it actually stops.
  • Why. One line. It goes on the record.

What happens to the billing

If the agreement was pushed to QuickBooks, ending it stops the billing there too. The recurring template is given an end date matching the last day the agreement covers — or removed outright, if it has not billed yet and there is nothing to preserve.

A future-dated end works the way you would want: the template keeps billing through the notice period and stops after the last day you are owed for.

It is worth running the reconciliation check afterwards — How billing works — which is there precisely to catch an agreement that ended while something in QuickBooks kept billing.

Withdrawing is not the same thing

Withdraw pulls a document nobody has signed — a quote sent to the wrong person, a contract superseded before it came back. End this agreement early records what happened to one they did sign. They are deliberately kept apart, and only one of them applies to a live agreement.
