Resend

Send quotes and agreements from your own domain instead of ours, so the email your client receives comes from you.

Resend is an email delivery service. HootQuill uses one already, which is why your documents arrive at all with nothing connected. Adding your own key changes whose domain they are sent from.

What it does in HootQuill

  • Quotes, agreements and signing links come from your address, not ours — so a client sees a message from your company, and a reply goes to you.
  • Delivery, bounces and opens appear in your own Resend dashboard, so when somebody says they never got it you can check rather than guess.
  • Your domain’s reputation carries the mail, which is the part that decides whether it lands in an inbox or a spam folder.

Hooking it up

  1. Step 1. Verify your domain in Resend

Do this first. Resend gives you DNS records to add at whoever hosts your domain, and verification is what proves you are allowed to send as it.

Until the domain is verified, every send is rejected — so verifying afterwards means discovering the problem on a real quote to a real client.

  2. Step 2. Create an API key

In Resend, API Keys. Give it sending access only and restrict it to your domain. HootQuill never needs more than that, and a key scoped that narrowly is one you can hand over without thinking hard about it.

  3. Step 3. Add the key and a from address

SettingsIntegrationsResend. Owner-only, because a key that can send as your domain is not something an admin should be able to swap quietly.

The key is stored encrypted and never shown again — you see the first and last few characters, enough to tell which key it is.

Include a name in the from address. Northwind IT <agreements@northwind-it.com> rather than the bare address, or your client just sees an email address where a company name should be.

  4. Step 4. Send yourself a test

Send myself a test on the same screen puts a real message through the real path to your own address. Do it before the next quote goes out, not after — it is the difference between finding a DNS problem in thirty seconds and finding it in a client’s spam folder.

What happens if sending fails

The whole send fails and the document is not marked as sent. That is deliberate: a signing link nobody received is worse than an error somebody sees. You get told, you fix the cause, and you send again — rather than waiting a week for a client who was never emailed.

A re-send of the same document does not count against your plan again, so fixing a delivery problem costs you nothing. See the questions page.

Your limits are your own

Connected, your sending is counted against your Resend account rather than shared with every other HootQuill customer. Worth knowing what your plan allows before a busy week — Resend’s free tier in particular is capped per day as well as per month.

Disconnecting

Removes the key and the from address, and sending reverts to HootQuill. Documents already sent are unaffected — they were delivered by whatever was configured at the time, and their audit trail records that.
